Appointment Policy

Appointment scheduling, arrival windows, identification, witness, and conduct expectations for Ross & Associates services.

Scheduling

Appointments may be requested through our online booking form, by phone, by SMS, or via WhatsApp. All requests are confirmed by our team before they are considered scheduled.

Arrival Window

Mobile appointments are scheduled within a 15–30 minute arrival window. Appointment scheduling windows are reserved specifically for each client once travel confirmation is completed. We will keep you updated by SMS as our notary approaches.

Travel Fees & Mobile Dispatch

All mobile, traveling, emergency, inspection, and apostille pickup or delivery appointments require travel and dispatch fees to be paid in advance, prior to travel or dispatch. Travel fees compensate for travel time, fuel, route dispatch, scheduling reservation, mobile availability, and after-hours availability.

Travel fees are separate from notarization fees and become non-refundable once dispatch or travel begins. Full details are described in our Refund & Cancellation Policy.

Client Readiness

Clients must ensure that all signers and witnesses are present, that valid government-issued photo identification is available, and that all documents are printed, complete, and ready for signature prior to the notary's arrival. Delays may result in additional wait-time fees, and incomplete appointments may still incur dispatch and travel charges.

Identification

All signers must present current, government-issued photo identification at the time of the appointment. Expired ID, photocopies, and digital images of ID are not accepted unless expressly permitted by Nevada law.

Witnesses

If your document requires witnesses, you are responsible for providing them unless you have arranged witness service in advance. Witnesses must be neutral, of legal age, and present photo ID.

Conduct

We reserve the right to terminate any appointment in which the signer or any party present is intoxicated, threatening, abusive, or unable to demonstrate awareness and willingness.

Finality of Completed Services

Once a notarial act has been performed, signatures executed, and the notarial seal applied, the service is fully rendered, complete, and final. Completed notarizations, executed loan signings, completed inspections, apostille processing, and rendered travel or appointment services are non-refundable. Clients are responsible for reviewing all documents, names, dates, and information prior to notarization. Refer to our Refund & Cancellation Policy and Terms & Conditions for full details.
