Refund, cancellation, deposit, no-show, and travel-fee policies for Ross & Associates appointments.
All Sales Final — Finality of Notarial Services
Notarial services are professional, legally binding acts. Once a notarial act has been performed — including identity verification, signature execution, application of the notarial seal or stamp, completion of the acknowledgment or jurat, recording of the journal entry, or finalization of a Remote Online Notarization session — the service is fully rendered, complete, and final.
Due to the legal and irreversible nature of notarial services, all sales are final and no refunds will be issued for: completed notarizations, completed Remote Online Notarizations, executed loan signings, completed inspections, apostille processing and submission, travel and dispatch services, after-hours services, emergency appointments, document witnessing, or any completed appointment services.
Notarial acts are legally recorded, journal entries are permanent, and seals or stamps cannot be revoked once applied. Completed services cannot legally be undone after execution.
Client Responsibility
Clients are responsible, prior to notarization, for reviewing all documents in full; confirming names, dates, and identifying information are correct; verifying that all required pages are present; and understanding the contents and legal effect of the documents being signed. Ross & Associates does not prepare legal documents and is not responsible for the legal sufficiency, wording, accuracy, or content of documents presented for notarization.
Deposits
Certain appointments — including mobile dispatch, after-hours, emergency, hospital/jail, inspection visits, apostille pickup/delivery, and out-of-area travel — require a non-refundable deposit or full travel fee at booking. The deposit secures the time slot, route, and travel commitment.
Travel Fees & Mobile Dispatch
All mobile notary, traveling loan signing, emergency dispatch, inspection, apostille pickup and delivery, and mobile appointment travel fees must be paid in advance, prior to travel or dispatch. To reserve mobile travel appointments, applicable travel and dispatch fees are required in advance.
Travel fees compensate for travel time, fuel, scheduling reservation, route dispatch, mobile availability, after-hours availability, and the blocking of an appointment window for the exclusive benefit of the client.
Travel fees are separate from notarization and signing fees. Once travel has commenced or a notary or signing agent has been dispatched, travel and dispatch fees become earned and non-refundable, regardless of whether the notarial act is ultimately completed.
This policy applies to: Mobile Notary Services, Traveling Loan Signings, Emergency Notary Appointments, Inspection Services, Apostille Pickup & Delivery, Same-Day Appointments, After-Hours Services, and Weekend or Holiday Dispatches.
Emergency, After-Hours & Same-Day Service
Emergency, after-hours, weekend, holiday, and same-day mobile services may require additional upfront dispatch fees in addition to standard travel fees. These fees are non-refundable once the notary or signing agent is en route. Surge pricing applies to off-hours and rush requests and is disclosed at the time of booking.
Cancellation Window
Standard appointments may be rescheduled or cancelled at no charge with at least 24 hours' notice. Cancellations made within 24 hours of the appointment may be subject to a cancellation fee equal to the deposit or to the travel and dispatch portion of the booking. Once dispatch has begun, the travel fee is fully earned and non-refundable.
Client Readiness & Wait-Time
Clients are responsible for ensuring that all signers are present and available, that valid government-issued identification is on hand, and that all documents are printed, complete, and ready for signature prior to the notary's arrival.
Delays caused by missing signers, missing identification, incomplete documents, or other client-side conditions may result in additional wait-time fees, billed in 15-minute increments after the initial courtesy window. Incomplete or aborted appointments may still incur the full dispatch and travel charge.
No-Show & Refusal
If the signer is not present, refuses to sign, fails to provide valid identification, or cannot complete the notarial act for any reason attributable to the signer, the full mobile dispatch and travel fee remains non-refundable. Notarial fees for acts that were not performed will be waived.
Refund Requests
Refund requests must be submitted in writing to legal@rossandassociates-notary.com within 14 days of the appointment date. Approved refunds are processed to the original payment method within 7–10 business days. Travel and dispatch fees that have been earned under the terms above are not eligible for refund.
